How to track imported contacts in HubSpot

Have you ever struggled to track data from an event? Data is often provided as a csv file and it can be hard to track contacts and event ROI. Here are some #HubSpottipsandtricks quick wins to track the source of the data and the contacts.

1. To track the Source, agree a naming convention for the file such as 'Eventname_Location_Year'. This will also be he import name


2. Source will always be shown as 'Import' in HubSpot. But if you look under 'Original Source drill-down 2', you'll see your file name which can be used in lists, workflows and reports


3. To track the data and make it easy to find in a Contact, create a new Contact property (database field) called ‘Events’ and make it a multi-tick box. Add each event name such as ‘Tech Expo Olympia 2023’


4. Add a column in the csv file, with ‘Events’ as the heading. Copy and paste the event name for each row ’Tech Expo Olympia 2023’. Once imported the event will added to the contact


5. If you have different event types, you could also create a property called ‘Event Category’ with a multi-tick box for Trade or Public etc. You could also create one for Contact type


6. Then add the column to the csv file with the heading i.e. Event Category, then copy and paste the data into the rows such as Trade. Once imported each contact will then have both the name of the event, event category and contact type


7. If you also need Event Name, Event Category to be shown in a company, build the same Property under the Company and copy it across via a workflow


8. Lastly, create a list for each event, then use Contact Analytics, build a report or list to view the Lifecycle and associated Deals.
